Job Description:

As part of our team, you can expect your roles and responsibilities to include:

  • Senior Leadership Team Administrative Support
    • Support the Senior Leadership Team (particularly the CEO and VP, Growth) with administration, calendar management, scheduling, travel arrangements, and expense reports
    • Take ownership of meeting preparation, including creating & formatting materials, proofing content, and circulating in a timely manner 
    • Oversee all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence
    • Support the CEO and People & Culture Team with corporate legal inquiries, legal items, and documentation while maintaining a high level of confidentiality and discretion
    • Organize, file, and manage important documents, such as reports, meeting notes, emails, and letters
  • Corporate Administration
    • Oversee all administrative activities across the organization, and act as the company's primary point of contact, responsible for directing inquiries internally and/or answering common FAQs ensuring a quick response and great service
    • Maintain Stoko's Google Drive file structure and manage corporate documentation, including but not limited to contracts, patent filings, NDAs, and account access
    • Support the Finance Team with Accounts Receivable
    • Support the Operations Team with purchase orders and document control

    Qualifications/Experience:

    • 2-5 years of work experience in an administrative and/or office management role
    • High attention to detail and excellent data entry skills
    • Strong organizational and time management skills, and ability to prioritize
    • Great interpersonal, communication, and customer service skills
    • Familiarity with G-Suite and Accounts Receivable
    • Enthusiasm for lifelong learning, problem-solving, and stepping out of your comfort zone
