As part of our team, you can expect your roles and responsibilities to include:
Senior Leadership Team Administrative Support
Support the Senior Leadership Team (particularly the CEO and VP, Growth) with administration, calendar management, scheduling, travel arrangements, and expense reports
Take ownership of meeting preparation, including creating & formatting materials, proofing content, and circulating in a timely manner
Oversee all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence
Support the CEO and People & Culture Team with corporate legal inquiries, legal items, and documentation while maintaining a high level of confidentiality and discretion
Organize, file, and manage important documents, such as reports, meeting notes, emails, and letters
Oversee all administrative activities across the organization, and act as the company's primary point of contact, responsible for directing inquiries internally and/or answering common FAQs ensuring a quick response and great service
Maintain Stoko's Google Drive file structure and manage corporate documentation, including but not limited to contracts, patent filings, NDAs, and account access
Support the Finance Team with Accounts Receivable
Support the Operations Team with purchase orders and document control
2-5 years of work experience in an administrative and/or office management role
High attention to detail and excellent data entry skills
Strong organizational and time management skills, and ability to prioritize
Great interpersonal, communication, and customer service skills
Familiarity with G-Suite and Accounts Receivable
Enthusiasm for lifelong learning, problem-solving, and stepping out of your comfort zone
